Facility Access & Age Guidelines
To access Woodmen Hills Parks and Recreation facilities, all participants must complete the required registration paperwork.
- All individuals age 18 and over must sign their own paperwork.
- Woodmen Hills residents may be required to provide proof of residency.
- Access may be verified with the District Office prior to facility use.
Accepted forms of proof of residency
- Government Issued ID Card
- Computer Generated Bill (utility, credit card, doctor, hospital, etc.)
- Bank Statement
- Pre-Printed Pay Stub
- First-Class Mail (government agency or court)
- Current Homeowner’s, Renter’s, or Motor Vehicle Insurance Policy
- Mortgage, Lease, or Rental Contract
- Transcript or Report Card from an Accredited School
- Motor Vehicle Registration
- USPS Change of Address Form (CNL107)
- DD214
- Postmarked first-class mail
Youth Access & Supervision
For the safety and enjoyment of all patrons, the following age guidelines apply:

Ages 15 and older
May access all areas of the facility independently, provided all posted rules and staff instructions are followed. -
Ages 12 and older
May access general areas of the facility, including the pool and basketball court, without adult supervision. -
Under age 12
Must have direct adult supervision at all times while in the facility. -
Ages 10–14 – Weight Room & Cardio Areas
May use the weight room and cardio areas only when directly supervised by a responsible adult and after successfully completing the required safety orientation/course.
Parents and guardians are responsible for the supervision, behavior, and compliance of their children with all posted rules and staff directions.
SilverSneakers® FLEX and Active Renew One Pass Members
Woodmen Hills Parks and Recreation is proud to participate in SilverSneakers® FLEX and Active Renew One Pass, two fitness programs offered through select Medicare and insurance plans.
SilverSneakers® FLEX provides access to SilverSneakers-specific classes, such as SilverSneakers Classic and approved SilverSneakers water classes.
Active Renew One Pass includes access to all group fitness classes offered at our facilities (including SilverSneakers classes).
These programs are designed to support healthy, active lifestyles through guided fitness classes. Please note that general access to weight rooms, cardio equipment, and pools is not included, except for approved SilverSneakers water classes.
Participants are responsible for maintaining eligibility and notifying Woodmen Hills Parks and Recreation of any changes to their insurance or program status.
Behavior Guidelines/Code of Conduct
The Woodmen Hills Recreation Center West and Recreation Center East (together, the “Recreation Centers”) are designed to be safe, welcoming, and comfortable for all users. These Behavior Guidelines are intended to:
- Protect the safety and rights of all users
- Protect the safety and rights of Recreation Centers staff
- Preserve and protect Recreation Centers property
By using the Recreation Centers, all users agree to follow these guidelines and respect the staff and other participants.
Definition and Scope
- Disruptive behavior is any conduct that interferes with the safe, orderly, or respectful operation of the Recreation Centers or negatively affects the experience of other users.
- Users exhibiting disruptive behavior may result in being asked to leave the Recreation Centers.
- Supervisors and on-duty staff are responsible for enforcing these guidelines and determining when behavior is inappropriate.
Code of Conduct
All users are expected to respect themselves, others, personal property, and the Recreation Centers. Specific expectations include:

Personal Fitness & Safety
- Know your personal fitness level and exercise at an appropriate intensity and pace.
- Stop exercising and contact Recreation Centers’ staff if you become dizzy, lightheaded, disoriented, exhausted, or experience other symptoms.

Equipment & Cleanliness
- Wipe down and disinfect equipment after each use.
- Return all exercise equipment to its proper location when finished.

Food & Drink
- Water in spill-resistant, unbreakable containers is welcome.
- Food, gum, and other beverages are allowed only in lobby areas.

Attire
- Wear appropriate clothing: keep your shirt on and wear non-marking, clean, spike-free shoes.

Personal Belongings
- Keep personal items secured; the District is not responsible for lost or stolen items.

Substance-Free Facility
- The Recreation Centers are drug-, alcohol-, and tobacco-free.

Compliance
- Users must comply with all posted rules, staff directives, and the Recreation Centers’ Behavior Guidelines.
Examples of Disruptive Behavior
The following types of behavior are not tolerated in the Recreation Centers or on any District property:
- Any behavior that endangers the safety or health of others
- Violation of local, state, or federal laws
- Vandalism or deliberate destruction of Recreation Centers property
- Theft of Recreation Centers property or personal property of others
- Use of abusive, intimidating, or threatening language or gestures toward users or staff
- Harassment or willfully annoying behavior
- Harassment includes actions intended to produce psychological or physical discomfort, embarrassment, or ridicule.
- Examples: unwelcome sexual advances, intimidating, demeaning, or offensive verbal or physical conduct
- Soliciting or requesting signatures on petitions
- Monopolizing staff time unnecessarily
- Loud talking, laughing, or using audio equipment or cell phones in a manner that disturbs others
- Use of skateboards, roller blades, skate shoes, or scooters inside the facility or on property
- Inappropriate dress
- Loitering after the facility has closed
- Use of alcohol, marijuana, cigarettes, or illegal substances on all District premises
- Poor hygiene that constitutes a nuisance
- Other behavior deemed inappropriate at the discretion of Supervisors or on-duty staff
Enforcement
- Enforcement may vary depending on the severity of misconduct.
- Possible disciplinary actions include, but are not limited to:
- Verbal warning
- Removal from the facility for the day
- Suspension of Recreation Center access
- Immediate ban from the premises
- Staff have the final authority to determine appropriate action based on the situation.
User Responsibility
All users are expected to:
- Follow these Behavior Guidelines
- Respect staff instructions and posted rules
- Ensure guests comply with the guidelines
- Report unsafe conditions or incidents to staff promptly
Failure to follow these guidelines may result in restricted access or other disciplinary measures to maintain the safety and enjoyment of the Recreation Centers for all users.
Appropriate Gym Attire
To help keep our fitness areas safe, comfortable, and welcoming for everyone, members are asked to wear appropriate athletic attire at all times.
- Athletic shirts must be worn while using the facility. Sports bras should not be the outermost layer, and midriff exposure should be minimal.
- Shorts and pants should provide full coverage and not expose the buttocks.
- Clothing with belts, studs, rivets, or exposed zippers is not allowed, as these items can damage equipment.
- All attire should be free of offensive language or symbols.
- For safety, closed-toed athletic shoes are required. Flip-flops, slides, and open-toed shoes are not permitted in the fitness areas.

Equipment and Person Property
Users are responsible for the proper use of all District equipment. Damage, loss, or failure to return checked-out equipment may result in repair or replacement charges. The District is not responsible for personal property that is lost, stolen, or damaged.
Photography, Video Recording, and Surveillance
All Woodmen Hills facilities may be monitored by video surveillance for security and operational purposes.
From time to time, staff may take photos or videos of members using the facilities for non-security purposes, such as documentation, staff training, or promotional materials. By using the facilities, members grant permission for themselves and any minors on their account to be included in such media.
If you or your child do not wish to be photographed or recorded for non-security purposes, please notify District staff in writing before participating in activities or using the facilities.
Refund Guidelines
Memberships
- Annual: Refund within 30 days, minus prorated usage. After 30 days – non-refundable.
- Monthly: Cancel anytime; no refund for the current month.
- Punch Cards: Non-refundable, but unused balance within 30 days can be credited to your account.
Camps
- Full Refund: Cancel ≥ 1 month before start.
- 50% Refund: Cancel 1 month – 2 weeks before start.
- No Refund: Cancel < 2 weeks before start.
Leagues
- Teams: Full refund if canceled ≥ 2 weeks before start.

Individuals:
- Full refund ≥ 2 weeks before start
- 50% refund 2 weeks – 3 days before start
- No refund < 2 days before start
- Volunteer Coaches: Full refund for one child per team coached.
Room Rentals
- Full Refund: Cancel ≥ 2 weeks before rental
- 50% Refund: Cancel 2 weeks – 3 days before rental
- No Refund: Cancel < 2 days before rental
Fitness Classes / Activities
- Drop-in Classes: Non-refundable, but account credit is possible and transferable
Other Notes
- Refunds are reviewed case-by-case.
- Weather or emergency cancellations don’t automatically guarantee a refund.
- Medical-related refunds may be considered with documentation.
- Participation means you accept these guidelines.
Guests
Residents are welcome to bring guests to the Recreation Centers, following the rules and conditions set by the District. Guest access, fees, and allowed areas may vary by facility or activity and are subject to change.
Pool Facilities:
- Residents may bring up to three (3) guests per household per visit at no charge.
- Additional guests can be admitted with payment of applicable guest fees or by using a guest pass.
Basketball Courts:
- Guests are welcome, but no free access is available. All guests must pay the applicable fee or use an approved guest pass.
Weight Room & Cardio Areas:
- Recreation Center East: Residents may bring one (1) guest per visit, following guest pass requirements.
- Community Center West 24/7 Gym: Guest access is not permitted.
Important Reminders:
- The resident host must remain on-site while their guests are using the facilities.
- Guests cannot enter or use the facilities without the resident present.
- Guests are expected to follow all facility rules and staff directions.
- The District may limit, deny, or revoke guest access as needed to maintain safety and compliance with these guidelines.
ADA & Accommodations
The District complies with applicable federal and state disability access laws and will provide reasonable accommodations upon request.
Right to Refuse or Suspend Service
The District reserves the right to refuse, suspend, or revoke access to the Recreation Centers or participation in Activities for any individual whose conduct, attire, failure to comply with District rules, policies, or staff directives, or other behavior interferes with the safe, orderly, or family-oriented use of the facilities. Such actions shall be applied in a non-discriminatory manner and in compliance with all applicable federal, state, and local laws.
Signage & Announcements
The Woodmen Hills Parks and Recreation District posts signs throughout our facilities to provide important information about safety, facility updates, program changes, and special events. All members are expected to read and follow posted signage to ensure a safe and enjoyable experience for everyone.
In addition to in-facility signage, the District communicates important updates through:

Members are encouraged to check these platforms regularly. Notices posted on facility signage or through our official communication channels are considered official communication. Failure to follow posted signs or announcements may result in restricted access or other disciplinary action if necessary.
